First Time MyGeotab™ Setup

Welcome to MyGeotab! Now that you installed your GO devices and created a database, it's time to set everything up and start monitoring your fleet. Through this setup, you'll learn about seven key features of MyGeotab that will help you collect and analyze your fleet data.

Before we get started:

Want an easy way to track your progress? Use the following checklists:

All set? We recommend opening your database in another tab and completing each step as you go.

Add Assets

Assets are the cornerstone of any fleet. With MyGeotab, we can analyze the data collected by the GO device. To do that, you first need to add the asset to your MyGeotab database so the GO device knows where to send the data.

For larger fleets, we recommend first creating a group structure to help organize your users and assets. Skip to the Organize with Groups section to learn more.

To add an asset, select your preferred format (Tutorial, Video or Article) and follow the how-to instructions below:

New User Tip: The best way to see all the great features available to you is by taking your Telematics Device out on its first trip.

Add Users

Adding users allows you to expand the number of people who can access and leverage your MyGeotab database.

To add a user, select your preferred format (Tutorial, Video or Article) and follow the how-to instructions below:

New User Tip: When adding a user, we recommend using an email address in the User (Email) field. Without a valid email address, users can't:

Add Zones

Zones are virtual perimeters on the map that can be used to identify important locations. Once zones have been added into a database, you can isolate and review data related to your zones and zone types to help boost fleet productivity.

Zones can track:

Once you create zones, you can do things like receive notifications when a vehicle enters a loading dock or track how long delivery drivers spend in Customer zones.

To create a zone, select your preferred format (Tutorial, Video or Article) and follow the how-to instructions below:

New User Tips:

Check the Watchdog Report

Get a quick overview of your fleet devices' health with the Watchdog Report in MyGeotab. Easily separate devices that need investigation from the ones that are reporting healthy.

For a device to be healthy, it must communicate with MyGeotab at least once every 24 hours. The Watchdog Report helps identify devices that require follow-up by showing which ones have stopped communicating.

To pull the Watchdog Report, select your preferred format (Tutorial, Video or Article) and follow the how-to instructions below:

New User Tips:

Find Assets on the Map

The map offers a visual display of your fleet. On the map, you'll see:

To view your assets on the map, select your preferred format (Tutorial, Video or Article) and follow the how-to instructions below:

New User Tip: Open the MyGeotab Product Guide to discover more ways to interact with the map. (opens in a new tab)

Enable Built-in Rules

Rules are a powerful way to monitor and manage your fleet. You can use rules to enforce policies, help drivers become better at their job, and more. MyGeotab's built-in rules cover typical situations you would want to know more about; such as, harsh braking, hard acceleration, and speeding.

Rules are aided by in-vehicle coaching and customized reporting. MyGeotab tracks all the instances of a rule being broken (called exceptions) and can provide the fleet manager with email or in-app alerts.

To enable built-in rules, select your preferred format (Tutorial, Video or Article) and follow the how-to instructions below:

New User Tip: If you don't find a rule that matches what you need, consider customizing one of the built-in rules. View an article on how to create a custom rule using a built-in rule.

Organize with Groups

Tracking data for 4 vehicles might not seem like a big deal, but what if that number increases to 20, 50 or even 1000? Suddenly, that's a lot of data to keep track of. How can you divide data into manageable chunks for analysis? Or control which users can see data for certain vehicles?

MyGeotab groups solve these problems by creating subsets of your data.

To make things easier, your MyGeotab database comes with several built-in groups. These built-in groups are not removable. View an article about asset type groups.

To create groups, select your preferred format (Tutorial, Video or Article) and follow the how-to instructions below:

New User Tip: Create your group structure before adding your assets and users. This way, you won't have to edit your assets and users to put them in groups.
